Exhibitor Registration

Confirmed exhibitors will receive an email with a unique registration link and code to register. After you register your staff, you will be sent a housing link for reservations. If you have not received your email, please contact meetings@aagl.org.
Note: AAGL reserves the right to modify hotel reservations for those exhibitors not officially registered for the meeting.

Badge Policy: All representatives of exhibiting companies must register and wear an offical exhibitor's badge to gain admission to and while in the exhibit hall. Other forms of ID, including Company IDs, will not be accepted in lieu of the official exhibitor badge once the show opens. An exhibitor badge also includes admission to General Sessions and Breakout Sessions (where no additional fee is required). Physicians speaking, participating in company demonstrations, or staffing a booth, must register as an attendee.

Exhibitors will receive two (2) complimentary exhibitor badges per 100 sq. ft. of booth space purchased. Additional exhibitor badges may be purchased for $160 each. Exhibitor badges include lunch tickets for lunch in the exhibit hall on Monday and Tuesday. The cutoff date for exhibitor registration is November 8, 2025. After this date, additional badges and changes must be purchased on-site.

Exhibitor Housing

A block of discounted rooms has been reserved at the Vancouver Marriott Pinnacle Downtown for contracted sponsors and exhibitors. Rooms will be available until October 10, 2025, or until the room block is fully booked—whichever occurs first. Once you have completed registration for your booth personnel, you will receive a link to access the official exhibitor housing portal. Please be cautious of unauthorized housing solicitations, often referred to as "housing pirates." (See additional information below.) Exhibitors that book within the housing block will receive priority points.

Housing Blocks

For blocks of 6+ rooms, a contract must be signed to secure the rooms. Rooms will be placed once the contract is executed. Blocks will be based on previous year's actualized room history. Please email Kenita Hidalgo at khidalgo@aagl.org to request a block.

Hotel Cancellation Policy

Individual hotel reservations may be cancelled up to 72 hours prior to arrival with no penalty. Please cancel directly with the hotel to avoid penalty using the reservation/confirmation number you receive once you book your housing.

Beware of Housing "Pirates"

Please be aware that fraudulent housing providers—commonly referred to as "housing pirates"—are unfortunately common in the hospitality and meetings industry. These unauthorized third parties may falsely claim to represent AAGL and offer discounted hotel rates for our annual meeting. These offers often involve inflated prices, phishing attempts, or even non-existent room blocks. To protect yourself, do not provide any personal or financial information to individuals or websites not directly affiliated with the AAGL Global Congress. Official housing communications will only come from AAGL (aagl.org), SPARGO, Inc. (spargoinc.com) or from the hotel after you have made a reservation through the official housing link provided in your confirmation.

If you have any questions regarding the legitimacy of a hotel offer or communication, please contact AAGL directly via email at meetings@aagl.org. If you receive any unsolicited communication from an unverified source, we urge you to report it to AAGL immediately. AAGL is not responsible for any reservations made or payments submitted through unofficial housing channels.
