FREQUENTLY ASKED QUESTIONS 

 

 

AGE RESTRICTIONS - Are there any age restrictions to get into the exhibit hall?
No one under the age of 18 is allowed in the exhibit hall at any time.

 

AIRPORT & TRANSPORTATION - What is the closest airport to the convention center and what transportation is available?
The following airport is in close proximity to the Gaylord Palms Hotel and Conference Center:

Orlando International Airport (MCO)         (20 minutes)

There are many options for airport transportation from the Orlando Interntional Airport to the Gaylord Palms and local hotels. Please visit the airport website for more details about shuttles, taxis and rental cars.

 

ATTENDEE LIST - How can I obtain a pre-and post show attendee list?
Milcom 2012 does not release their pre or post show attendee lists.

 

BADGES (exhibitors) – How can I register our booth personnel? How many badges is our company eligible for and what do they give us access to?
Milcom 2012 registration is now available. Each exhibiting company will receive two complimentary Session Only passes per 10’x10’ booth area. The passes allow the registrant to attend any or all of the unclassified technical sessions. These can be upgraded to include admittance to the classified sessions for a fee of $150. All classified attendee requirements must be met before classified credentials are released. All passes must be assigned to an individual and are not transferable once the badge has been printed. These passes do not include tutorials, continental breakfasts, lunches, or evening social events. Each company will receive an unlimited amount of exhibit booth personnel badges, allowing access to the Exhibits ONLY. Each person staffing the booth will be required to have a name badge and will be required to show a government-issued photo ID. Any exhibitor presenting a paper must also be registered as a conference attendee by either using one of your company’s complimentary Session Only registrations or purchasing a Session Only, Daily or Full Conference registration.

 

BUDGET - How do I work with a tight budget?

  • Always order your services before the discount deadlines.
  • Consolidate your freight and shrink wrap it to avoid additional material handling charges.
  • For large groups use shuttle transportation rather than individual taxi service.
  • Always bring back up supplies so you don’t have to rent them at a premium at the show.
  • Some items are more cost effective to bring on your own rather than renting them over and over again at every show. (i.e. power strips, extension cords, artificial plants, waste baskets, etc.)
  • Consider the costs of rental displays, carpet and booth furnishing versus shipping and material handling charges for your own display.
  • Meet your freight target times (if applicable), and instruct your drivers to check in at the marshaling yard before the deadline time noted in the service manual to avoid additional surcharges.
  • For larger booths - ship hanging signs and carpet in advance to allow for straight-time installation when possible.

COSTS - What other costs can I expect in addition to my booth space?

DEADLINES – What deadlines do I need to keep in mind as an exhibitor?
Most deadlines fall 30-45 days prior to the start of the exposition.

DEMOGRAPHICS – What is the demographic breakdown of attendees?
More than 3,000 qualified attendees are expected at this event. Please contact Connie Shaw at 703-631-6200 for more information about Milcom attendees.

 

DRESS CODE - What is the dress code for booth personnel?
The dress code for Milcom 2012 is business attire/uniform of the day for sessions, luncheons, and the Chairman’s Banquet.

EXPOSITION SCHEDULE – What are this year’s move-in, move-out and show hours?
The schedule below is subject to change. The schedule below is current as of October 4, 2012.  Exhibitors will be notified of further changes via email.

Inline Exhibits-Dismantling

Please make sure your displays are packed, crated, and bills of lading turned into Brede no later than 7:00 PM on Thursday, November 1.

  

Please be sure your designated outbound carrier has checked in with Brede no later than 3:00PM on Thursday, November 1 for pick up.

Island Exhibits-Dismantling
Please make sure your displays are packed, crated and bills of lading are turned into Brede no later than 11:59 PM on Thursday, November 1.

  

Please be sure your designated outbound carrier has checked in with Brede no later than 7:00 PM on Thursday, November 1 for pick up.

 

Should your carrier fail to check in, Brede Exposition Services reserves the right to re-route the shipment via the official show carrier as necessary.   Brede Exposition Services, AFCEA, IEEE Communications Society, Milcom, J. Spargo & Associates, Inc., and the Gaylord Palms Resort & Convention Center do not assume any liability as a result of such re-routing.

HOTEL RESERVATIONS - How can I make hotel reservations? What are cut-off dates and what are the rates?

SHUTTLE BUSES - Is there shuttle bus service available from my hotel to the convention center?
Shuttle bus transportation will not be provided at Milcom 2012.

IMPORTANT NOTIFICATION - SUITCASING POLICY:
Anyone observed to be soliciting business in the aisles or other public areas, or in the booth of another company, will be asked to leave immediately. Additional penalties may also be applied. Please report any violations to Show Management.
