Exhibit Hall Schedule

Early Exhibitor Move-In & Early Overhead Rigging (by appointment only):

Saturday, May 24: 8:00 AM - 4:30 PM
Sunday, May 25: 8:00 AM - 4:30 PM (No Freight accepted)
Monday, May 26: 8:00 AM - 4:30 PM (No Freight accepted)

To request an early exhibitor move-in and/or early overhead rigging installation, please complete the Request for Early Freight Move-In Form and/or Aerial Labor Request by Tuesday, April 29. Freeman will review early move-in and/or early overhead rigging requests and assign based on availability.

* Please note:

Overtime rates will apply after 4:30 PM Monday-Friday and all day Saturday. Double-time rates will apply all day Sunday and holidays.
Monday, May 26 is a holiday

Exhibit Installation Hours:

Tuesday, May 27: 8:00 AM - 4:30 PM
Wednesday, May 28: 8:00 AM - 4:30 PM
Thursday, May 29: 8:00 AM - 4:30 PM
Friday, May 30: 8:00 AM - 4:30 PM

* Please refer to the Target Freight Move-In Schedule for more information. Overhead rigging will continue during exhibit installation hours above. Freeman will review your overhead rigging request and assign installation date/time based on availability.

All exhibits must be set by 4:30 PM on Friday, May 30. Any space that is not set at that time will be turned back to ASCO Exhibit Management use in a way that will complement to overall appearance of the exhibits. This policy will be strictly enforced.

ASCO permits exhibitors and EACs to work specific hours outside of the published Exhibit Hall move-in and move-out times, including Sunday, May 25, 2025, and Monday, May 26, 2025 (Memorial Day). After published move-in/move-out hours, access to the exhibit hall and/or in and out privileges may be limited or eliminated. The exhibiting company or EAC will be responsible for scheduling union stewards/labor in advance and to pay for any hours worked during that time. Please note: Monday, May 26, 2025, is a holiday and double time rates will apply.

Exhibit Hours:

Saturday, May 31: 9:00 AM - 5:00 PM
Sunday, June 1: 9:00 AM - 5:00 PM
Monday, June 2: 9:00 AM - 5:00 PM

Exhibit booths must be staffed during all opening hours. Exhibits officially close on Monday, June 2 at 5:00 PM. All exhibits must remain fully intact and staffed until that time. Early dismantling of exhibits is prohibited. Failure to comply may result in disciplinary action, as set forth in the Policy for Exhibitors and Other Organizations at ASCO Meetings.

Dismantle Hours:

Monday, June 2: 5:00 PM - 11:00 PM
Tuesday, June 3: 8:00 AM - 4:30 PM
Wednesday, June 4: 8:00 AM - 4:30 PM

The return of empties will start once all aisle carpet has been removed. If you are storing your empty exhibit materials with Freeman, please be advised it will take up to 8 hours for those items to be returned to your booth. We do recommend that inline exhibits are dismantled on Monday. Please plan your travel and hotel accommodations accordingly.

ASCO will provide overall onsite security for the duration of an in-person meeting, but neither ASCO nor SPARGO, Inc. will indemnify exhibitors or their guests against loss and/or be responsible for loss of any exhibitor’s or their guests’ material by any cause.  Each exhibitor is responsible for safeguarding their own goods, materials, equipment, and display at all times.

If you are shipping out your booth at the end of the meeting, please be certain that you submit your material handing agreement to the Freeman service desk once your booth is packed. Freeman will not accept material handling agreements prior to 5:00 PM on Monday, June 2.

To ensure all exhibitor materials are removed from the exhibit facility by the Exhibitor Move-Out deadline, please have all carriers check-in by 2:30 PM on Wednesday, June 4. In the event your selected carrier fails to show on the final move-out day, Freeman reserves the right to re-route your freight onto another carrier.  All materials must be removed, and freight will be forced from the Exhibit Hall by 4:30 PM on Wednesday, June 4.

Exhibit materials which have not been packed and/or marked with outbound shipping labels will be considered trash.
