Key Dates and Deadlines

• January 29 – Last day to cancel or downsize exhibit space without penalty 
• January 30 – 50% deposit due (exhibit space, meeting rooms, support opportunities, etc.)
• February 7 – Deadline to submit your housing preferences. Exhibitors that do not submit hotel preferences by this date may reserve their room block based on real-time availability starting April 28. 
• February 10 – First Right of Refusal for support opportunities expires 
• April 28 - Hotel room block assignments and confirmations sent
• June 3 – 100% payment due and 100% cancellation penalty begins (exhibit space, meeting rooms, support opportunities, etc.)
• July – Exhibitor Town Hall 
• July 30 – Ancillary Meeting request portal opens (11:00 a.m. EDT)
• August 13 - Exhibitor manual launches 
• August 13 – Exhibitor registration portal opens. Room block management portal opens for exhibitors with reserved room blocks. Individual exhibitor housing opens. 
• August 29 - Corporate Presentation submission forms due with presentation details for ASH review and assignment
• September 26 - Company information for printed Exhibitor Listing submitted through Exhibitor Resource Center
• September 26 - Support opportunities artwork due to ASH for review 
• October 1 – Last day to earn priority points 
• October 3 - Deadline for exhibitors to assign rooms in hotel blocks and submit payment.
•  Week of October 6 - Corporate Presentations: Presentation date/timeslot assignment emails sent. Confirmation of presentation title and speaker(s) due.
• October 8 - Corporate Presentations: Last day to make updates to presentation details for inclusion in ASH printed program and ASH News Daily listings.
  Support opportunities: Production-ready artwork due
• October 24 - Support Opportunities - Approval of production proofs due
• November 12 - Final housing deadline
• November 14 - Corporate Presentations - All promotional materials due for ASH review
• November 21 - Ancillary Meeting request deadline (11:59 p.m. EST)
• November 26 - Final deadline to book exhibit space
• December 5 - Exhibits MUST be set by 4:30 p.m.
